Legal basis of data processing

The data is processed on the following legal basis: data subject’s consent.

Types of personal data

Footage i.e. photo and / or video material, your identification and contact details provided during registration in the context of attending the event; event-relevant information (e.g. type of event, location, special requests).

Purposes of data processing

Footage may be used by us for marketing activities including but not limited to: articles and multimedia on the Sand website, images or multimedia on company-managed social-media channels (e.g. LinkedIn, Instagram, Twitter/X, Facebook, etc.), PowerPoint or other presentations used in internal and/or external events, and promotional assets used in other marketing capacities.

Photo/Video Release

I hereby grant and authorize you the right to edit, alter, copy, any and make use of all photos and or videos taken of me to be used in and/or for promotional materials without payment or consideration. This grant of use includes but is not limited to publishing on Internet and e-mails, magazines, pamphlets, advertisement fliers, and in whatever other manner the photographer finds useful or for any other lawful purpose.

I understand and agree that these materials will become your property and will not be returned. This Release extends to all formats, media, languages, and formats now known or hereafter developed.

In addition, I waive any right to royalties or other compensation arising or related to the use of the photos. I hereby release rights to all claims, demands, and causes to action which I, my heirs, representatives, executors, administrators, or any other persons acting on my behalf of my estate have or may have by reason of this authorization.

Duration of data storage

Personal information that has been collected in the framework of producing footage for the event will be used by us for the duration of the marketing initiatives. Other than that, personal information will be deleted in accordance with applicable (data protection) laws and (local) statutory limitation periods which may vary from country to country.

Also, considering that external channels can be accessed on the Internet, personal information may still be accessible worldwide through search engines even if the information has already been removed from our channels; we can control our own channels, but not external ones.

Your rights as a data subject and how to contact us

You can withdraw your consent any time without giving reasons by contacting the team organizing the event or our privacy team at dpo@sandtech.com with a copy to legal@sandtech.com, but only with effect for the future.
