Privacy Policy

This policy explains what personal data we collect, how we use it, who we share it with, and the rights you have. It applies to information collected through this website, our marketing channels, and the course of doing business with us.

Information we collect
We collect information you give us directly — for example when you request a demo, submit a partner interest form, apply for a role, or sign up for updates. This may include your name, organisation, role, email address, phone number, and any details you provide in messages or attachments. We also collect technical information automatically, including IP address, browser type, device identifiers, referring URLs, and pages viewed, through cookies and similar technologies.

 

How we use information
We use personal data to respond to your enquiries, evaluate job applications, deliver and improve our products and services, send relevant communications, secure our systems, and meet legal and regulatory obligations. We do not sell personal data.

 

Sharing
We share personal data with service providers who help us operate (for example hosting, analytics, applicant tracking, and customer-support tooling), with our affiliated entities, and where required by law or to protect our rights. Where a partner client requires access in the context of a deployment, sharing is governed by a separate written agreement.

 

International transfers
Sand operates across multiple regions. Personal data may be transferred to and processed in countries other than the one in which you reside. Where required, we use appropriate safeguards such as standard contractual clauses.

 

Retention
We keep personal data only for as long as needed for the purposes described above, to comply with our legal obligations, resolve disputes, and enforce agreements.

Depending on where you live, you may have rights to access, correct, delete, restrict, or object to processing of your personal data, and to data portability. Privacy Policy: Event Videos and Photos

At Sand events, conferences, and gatherings hosted by us or our partners, we may capture photographs and video footage of attendees, speakers, and the venue. This policy describes how that media is captured, used, and stored.

Capture and consent
By attending a Sand event, you acknowledge that photography and video recording may take place and that your image may be captured. Where additional consent is required by local law, we will seek it before recording. Designated no-photo areas will be marked where available, and you may request not to be photographed by speaking to event staff.


How event media is used
Event media may be used in summaries, recaps, internal communications, marketing collateral, social media, press releases, and on this website. We do not use event media for individualised profiling or targeted advertising.


Requesting removal
If you would like an image or recording of yourself removed from a specific medium under our control, email [email protected] with a description of the image and the location where you saw it. We will make reasonable efforts to remove or redact the material.

Data Processing Terms

Where Sand processes personal data on behalf of a customer in the course of providing services, the following Data Processing Terms apply in addition to the master agreement between the customer and Sand. The customer acts as data controller; Sand acts as data processor.

Scope and instructions
Sand processes personal data only to provide the services described in the agreement and on the documented instructions of the customer. If, in Sand’s opinion, an instruction violates applicable data protection law, Sand will notify the customer.


Security
Sand maintains technical and organisational measures appropriate to the risk of the processing, including access controls, encryption in transit and at rest, network segmentation, hardened production environments, regular security testing, and incident response procedures. Sand is certified to ISO/IEC 27001:2022 and SOC 2 Type II.


Sub-processors
Sand may engage sub-processors to support service delivery. Each sub-processor is bound by contractual obligations no less protective than those in these terms. A current list of sub-processors is available on request from [email protected]; customers will be notified of changes prior to onboarding new sub-processors and may object on reasonable grounds.


Personnel
Sand limits access to personal data to personnel who need it to perform their roles and ensures they are subject to written confidentiality obligations and appropriate training.


Data subject rights and incidents
Sand will assist the customer in responding to requests from individuals seeking to exercise their rights, and will notify the customer without undue delay of any personal data breach affecting the customer’s data, with information sufficient to support the customer’s own notification obligations.


Return and deletion
On termination of the services, Sand will return or delete personal data as instructed by the customer, except where retention is required by applicable law.
